The commercial terms that apply to quotations, bookings, equipment hire and on-site work carried out by Sampath Events.

Quotations issued by WhatsApp or email remain valid for 14 days from the date of issue. Prices are based on the quantities, dates, venue and access conditions described at the time of quoting.
A booking is confirmed only when the agreed advance deposit has been received. Until then, equipment and crew for that date remain available to other clients, and no date is held.
Where final quantities differ from the quoted quantities, the invoice is adjusted accordingly. Increases are subject to stock remaining available for that date.
The balance is payable in accordance with the schedule stated on your quotation, and in any case before the equipment is removed from site at the end of the event unless separately agreed in writing.
All prices are quoted in Sri Lankan rupees (LKR).
Cancellations must be notified in writing. Deposits cover reserved stock, crew scheduling and preparation already committed, and are non-refundable once a date has been held.
Where a cancellation occurs close to the event date, costs already incurred — including fabricated branding, printed graphics, subcontracted items and transport already dispatched — remain payable.
We will always try to accommodate a postponement to an alternative date, subject to availability.
All rental inventory — including Tiffany chairs, banquet tables, marquee canopies, stage decks, flag poles and ballast bases — remains the property of Sampath Events at all times.
The client is responsible for reasonable care of the equipment while it is on site, and for any loss or damage beyond fair wear and tear occurring between delivery and collection, including loss or damage caused by the client's guests or other suppliers.
Equipment must not be moved, modified, repositioned or dismantled by anyone other than our crew, as doing so can compromise structural safety.
The client must ensure unobstructed access to the setup area at the agreed rigging time, together with a stable, reasonably level surface and any venue permissions required for installation.
Where access is delayed, obstructed or materially different from what was described, setup times cannot be guaranteed and additional charges may apply.
The client is responsible for confirming that the venue permits the structures being installed, and for any permits required by the venue or local authority.
Our outdoor structures are specified for tropical conditions, but we reserve the right to modify, delay or refuse an installation where wind, lightning, flooding or ground conditions make it unsafe for our crew or your guests.
Safety decisions on site are made by our crew lead and are final. Where a safe alternative layout exists, we will offer it.
We are responsible for the safe installation of our own equipment. We are not liable for indirect or consequential losses, for the acts of third-party suppliers we did not appoint, or for circumstances beyond our reasonable control.
Nothing in these terms limits liability for death or personal injury caused by negligence, or for any other liability that cannot be excluded under Sri Lankan law.
We may photograph our own setups for portfolio purposes. Tell us in advance if you would prefer that we do not, and we will not publish images of your event.
These terms are governed by the laws of Sri Lanka, and the courts of Sri Lanka have exclusive jurisdiction over any dispute arising from them.
